Executive Secretary

Position Overview:

The Executive Secretary will help to establish procedures and processes to co-ordinate workflow and enable the organisation to function efficiently and effectively.  As such, he or she will be well-placed to advance to other roles within the team. The nature, diversity and scope of responsibility will require the frequent use of discretion, initiative and independent judgement.

Key responsibilities

  •          Establish procedures and processes to co-ordinate workflow, working with other Executive Secretary to determine best practices
  •          Responsible for the administration of ECNA’s activities
  •          Organise committee meetings and take meeting minutes
  •          Organisational help with ECNA events
  •          Receive and reply to correspondence on behalf of ECNA
  •          Coordinate schedules with other Executive Secretary
  •          Assist in setting up, running and packing up of ECNA events
Selection Criteria:
  • Versatility, flexibility, enthusiasm and a high-level of self-motivation and initiative, both independently and as a part of a team.
  • Advanced level of English communication, both oral and written
  • Consistently proactive, taking initiative whenever possible
  • Demonstrated organisational and administrative skills with the ability to plan, coordinate and execute tasks and projects through to completion whilst meeting deadlines, balancing competing demands and having a specific attention to detail.
  • Ability to work with limited direction to initiate procedures, set priorities and manage tasks. Support as required, including coordinating calendars, diaries and travel as needed.
